Request for Quotation (RFQ) for floor care services at TCAT Memphis. Services include stripping, waxing, and buffing VCT floors across three locations totaling approximately 40,400 sq. ft. Bidders must complete a mandatory onsite evaluation. Questions are due by July 13, 2026, and bids are due by July 27, 2026, at 3:00 PM CT. The successful bidder will be required to sign a contract with the Tennessee Board of Regents. Bidders must complete tax and ethnicity forms.
The contract term is from 08/01/2026 to 07/01/2027, with potential extensions for up to five years. Services must be performed within the specified period.
Invoices will be submitted monthly for completed services. Payment is contingent upon satisfactory completion of services. The contractor must be registered in the institution's vendor portal before payment can be made. The contractor shall submit monthly invoices, in form and substance acceptable to the institution with all of the necessary supporting documentation, prior to any payment.
Contracts and purchases will be made with the lowest, responsible, qualified bidder. The quality of the articles, conformity with specifications, suitability to requirements, cash discount offered, and delivery terms will be considered.
Bidders must complete a criminal background check and be physically able to perform duties. They must also have procedures for ensuring adequate staffing and key/access card security. Insurance requirements include commercial general liability and workers' compensation.
If keys/access cards are lost by bidder personnel, the bidder will be assessed a **** to **** reduction per key from the invoice.
