Quotations must be submitted on or before July 07, 2026. The contract term is July 13, 2026, through June 30, 2027, with options for two additional one-year periods.

Payment will be made upon receipt of the complete order voucher and correct claim forms or invoices. Invoices must contain the RFQ number, purchase order number, quantity, description, unit price, and extension.

Preference is given to Registered Piano Technicians (RPT) or factory-certified technicians. Technicians with 5 years of professional experience and verifiable institutional references are also encouraged to bid. If a piano tuning or approved repair is found unsatisfactory within 30 days, the vendor must resolve the issue at no additional cost. If the vendor fails to correct substandard work within five business days, the district may hire an alternate technician, and costs will be deducted from the vendor's invoices or billed directly. If the piano tuning or approved repair is found by the designated music teacher or director to be in an unsatisfactory or unplayable condition within thirty 30 days of service, the vendor shall be required to return to the school building to resolve the issue at no additional cost to the district.

The district reserves the right to reject any RFQ or pursue a responsibility review for entities on the New York State Iran Divestment Act prohibited entities list. Failure to supply skilled workers, proper materials, or to prosecute work diligently can lead to contract termination. The district reserves the right to reject any rfq, request for assignment, renewal or extension for an entity that appears on the prohibited entities list prior to the award, assignment, renewal or extension of a contract, and to pursue a responsibility review with respect to any entity that is awarded a contract and appears on the prohibited entities list after contract award.

Bids must be submitted by 2:00 PM on Thursday, July 2, 2026. If CITI is closed due to unforeseen circumstances, the deadline will be extended to the next business day CITI is open, maintaining the 2:00 PM time.

Payment will be made within approximately thirty days (30) after receipt of materials and an invoice.

The successful bidder shall supply all guarantees, service warranties, and manuals where applicable. Any merchandise that becomes defective during the guarantee period shall be replaced free of charge, with replacements carrying the same guarantee.

The award will be made to the lowest responsible bidders, considering reliability, quality of materials, conformity with specifications, and conditions of the customer service component.

Bidders must submit a completed W9 with their bid submission and certify compliance with noncollusion and conflict of interest regulations.

If the successful bidder fails to deliver as ordered, or within the time specified, CITI may purchase from other sources to replace the item and the successful bidder agrees to reimburse CITI for excess costs.

CITI reserves the right to request or review samples of items where an equivalent is bid.

All questions must be submitted at least ten (10) business days prior to the official bid opening.

Failure to fully execute the Bid Proposal Certifications, Noncollusion Bidding Certification, and Conflict of Interest Certification will constitute grounds for rejection of a bid submission.
