The Hawaii State Department of Health is seeking proposals for professional event coordination to celebrate 50 years of home visiting programs. The event is scheduled for October 6, 2025, through December 31, 2025. Bidders must be licensed in Hawaii, have a Hawaii office, meet experience requirements (5+ years coordinating high-profile events, experience with state health departments), and comply with administrative requirements. A detailed cost and timeline quote table is required, along with a narrative describing how the bidder meets the qualifications and responsibilities. The awarded vendor will be responsible for paying a fee to NIC Hawaii (0. 75% of the award, capped at $5,000). The vendor must also be registered with Hawaii Compliance Express (HCE). Payment will be made via state purchase order, or potentially credit card, upon completion of deliverables. Invoices are due within 45 days of each meeting.
The contract period will extend from October 06, 2025, through December 31, 2025. The final invoice shall be submitted within fortyfive 45 days after the end of the project period.

The bidder shall be licensed to conduct business in the state of Hawaii, have an office located in the state of Hawaii at the time of award, be compliant with all relevant state and federal statutes, have a minimum of five 5 years of experience in coordinating events with high-profile engagement events, have prior experience working with state health departments or similar government agencies, with knowledge of procurement policies, demonstrate capability to meet the administrative requirements of contracting with the hawaii state department of health, be available for regular checkins with mchb through inperson meetings, phone, and video conferencing, exhibit professionalism and cultural sensitivity in all interactions related to this contract, demonstrate experience and proficiency in utilizing scheduling tools to coordinate meetings, and ideal vendor has experience with rsvp management, vendor management, registration, and coordination tools.
The cost should be based on the administration, purchase and delivery, and evaluation of the project not to exceed 50, ****.
