Art School Government Bids & RFPs

The delivery window for all deliveries is between August 3 and September 4, 2026. Deliveries will not be accepted before August 3, 2026, and all deliveries must be completed by September 4, 2026, unless prior written approval is granted by the district.

Payment will be made only upon receipt of the complete order and correct presentation of claim forms or invoices as required. Invoices should be emailed to ap@greececsd. org.

The contractor warrants that materials and equipment furnished will be of good quality and new, the work will be free from defects, conform to contract requirements, and all deliveries will be equal to the accepted bid specification and/or sample. Merchandise provided under the contract that becomes defective during the guarantee period will be replaced free of charge within at least one year from the date of delivery.

Awards will be made to the lowest responsible bidder, as will best promote the interest of the district, taking into consideration the reliability of the bidder, the quality of the materials, equipment or supplies to be furnished, their conformity with the specifications, the purposes for which required, and the terms of delivery.

The successful bidder must be prepared to present satisfactory proof of their ability to fulfill the contract terms, such as inventory, facility inspection, and references. The bidder must also have been engaged in similar work for at least five years and not be in bankruptcy or receivership.

If the successful bidder fails to deliver as ordered, within the time specified, or fails to make replacement of rejected articles, the school district may purchase from other sources and the successful bidder agrees to reimburse the school district promptly for the excess costs. Contract cancellation may result in removal from future proposal mailing lists.

Samples must be provided where noted in the bid document and/or upon request for equivalent or superseded determination. Samples shall be provided at the bidder's expense. If a bidder is unable to provide a requested sample within 10 business days, the bid for that specific item may be disqualified.

Late submissions will not be accepted. Failure to provide SDS sheets as required may result in rejection of delivery or termination of the contract. If a bidder is unable to provide a requested sample within 10 business days, the bid for that specific item may be disqualified.

The bid notice does not specify requirements for sample submission.

The bid opening date and time is Tuesday, June 9, 2026, at 10:00 AM local time. All bids shall be received by the district no later than this date and time.

Payment will be made no later than forty-five (45) days after receipt of a properly documented invoice submitted to Dearborn Public Schools, Accounts Payable.

The bid notice does not explicitly state a warranty period for the services provided. However, it mentions that the warranty period shall start upon product acceptance, which is relevant if products are part of the service.

The district intends to award a firm fixed price contract to the lowest responsive responsible bidder whose bid most closely meets the requirements as specified in the solicitation.

Bidders are required to provide business information, including taxpayer ID, DUNS numbers, annual gross sales for the last five years, number of employees, and references from three customers, preferably school districts or other public entities.

Any bidder or offeror who is aggrieved may protest to the Executive Director of Business Services and Operations within five (5) business days after such aggrieved proposer knows, or should have known, of the facts giving rise thereto.

Risks for disqualification include submitting late bids, failing to acknowledge addenda, communicating with district staff outside of the purchasing officer, misrepresenting information in the bid, failing to comply with conflict of interest disclosures, and failing to complete and sign required forms.

The bid notice states that the bidder must supply, deliver, and set in place the equipment no later than August 14, 2026.

The district reserves the right to award the bid on a line-by-line basis to the lowest responsive and responsible bidder for each line item.

The bid notice states that failure to obtain required insurance on behalf of the district constitutes a material breach of contract and subjects the contractor to liability for damages, indemnification, and all other legal remedies available to the district. Additionally, a bid shall not be considered for award nor shall any award be made where the noncollusive bidding certification has not been complied with, unless the head of the purchasing unit determines that the disclosure was not made for the purpose of restricting competition.
