The award is based on experience (40%), favorable participation (25%), revenue sharing (20%), and event pricing (15%). the award of the contract shall be based upon the following factors

Award based on favorable pricing, vendor experience, qualifications, staff, service level, and timeliness. favorable pricing will be one element of the selection process, but the experience of the vendor, qualifications, experience and ability of assigned staff, completeness of the level of service proposed and timeliness of service proposed by the bidder will be significant factors in award of this contract.

Proposals may be rejected. the city reserves the right to reject any proposals or parts of proposals.

Bids must be received by October 29, 2026 at 2:00 PM EST. Bids and amendments thereto, must be received by the city of collegedales finance office by the date and time specified for opening.

Payment is 50% 90 days before the event and 50% within 30 days of final invoice. the city of collegedale will pay 50 of the contracted payment 90 days prior to the event, and the remaining 50 within 30 days of final invoice received after the event.

Bidders must be properly qualified to carry out contract obligations. the city reserves the right to reject any bid if the evidence submitted by, or investigation of such bidder fails to satisfy the city that such bidder is properly qualified to carry out the obligations of the contract.

Default may result in contract cancellation. The contract may be canceled or annulled by the city of collegedale as a whole or in part by written notice of default to the contractor upon nonperformance or violation of contract terms.
