The City of Southfield is seeking proposals for a 2-year rental program and equipment operation for audio and lighting services for community events, with an option to extend for two additional 1-year periods. Proposals must be submitted electronically to www. ***. *. * by July 29, 2026, 11:00 AM. Questions are due by July 15, 2026, 5:00 PM, and should be emailed to ***@***. *. * successful proposer must provide proof of insurance. Evaluation criteria include experience, company qualifications, and pricing.
Proposals must be electronically uploaded to the MITN website by the due date and time of July 29, 2026, 11:00 AM local time. The mitn system will not allow for late submittals and a submittal must be completed before the due date and time.
Proposals will be evaluated based on experience with similar projects (30%), company qualifications (30%), and pricing (40%). The city also may consider the past performance of the contractor on other contracts with the city or other entities.
Companies must have sufficient equipment inventory, properly trained staff, have been in business for a minimum of 3 years under the same name, and have performed similar services for at least 3 other organizations within the last 5 years.
If a proposer fails to formally acknowledge and accept a purchase order or execute the contract within ten working days after notification, the deposit may be forfeited as liquidated damages. For failure to deliver or perform in accord with the accepted proposal, the city may consider the contractor in default and take steps to protect the citys interest.
Questions must be received no later than 5:00 PM on July 15, 2026. Changes requested after submission may result in rejection of your response.
Contacting city staff other than the designated point of contact during the solicitation process, evaluation committee, or submission of proposals with restrictions or qualifications beyond those permitted may lead to disqualification. Contact prior to selection may lead to a nullification of the results of this solicitation, or a dismissal of the offending respondents submission.
