The Texas Parks and Wildlife Department (TPWD) is requesting proposals for the rental of conference facilities for a wildlife division meeting. The contract will commence on the date of award and automatically expire upon the delivery date agreed upon and final acceptance by TPWD. The meeting will be three days and two nights. The deadline for questions is February 23, 2026, and the proposal due date is March 4, 2026. The location should be within the state of Texas, excluding Austin city limits. The facility must provide lodging, training/meeting space, dining room, and meals for approximately 75 attendees. The award will be based on best value to the state.

Payment will be made by purchase order for meeting spaces, meal, and audiovisual equipment. Payment normally will be made to the contractor within 30 days after receipt of a properly prepared invoice or the receipt of and the acceptance of services ordered, whichever is later.
The notice states that manufacturers standard warranty shall apply unless otherwise stated in the solicitation.
Award will be made based on best value to the state.
The respondent shall have available the necessary qualified personnel, skills, qualifications, organization, facilities, equipment and supplies required to fulfill all requirements under this rfp and any resulting contract.
The facility shall submit sample menus with bid response and pricing for each sample.
