The bid notice implies that vendors must complete the city's SAeps vendor registration to view the solicitation and submit a response. if you have not completed the citys saeps vendor registration, you must do so in order to view the solicitation and submit a response.

The Town of Yorktown requires delivery of all bid items to be made within five working days after receipt of order and during business hours of 7:00 a. m. to 3:00 p. m. The contract term for this project shall be for a duration of one year, commencing on or about February 9, 2026, with an option to extend for one additional term of one year.

The bid notice states that all goods furnished by the bidder are guaranteed against defects in workmanship and/or material for a period of one year from the date of delivery, inspection, and acceptance by the Town. Any equipment provided which becomes defective during the guarantee period shall be replaced or redone by the bidder, free of charge.

The Town of Yorktown intends to award the bid to the lowest responsible bidders for each bid item on the bid summary table. Awards will be made to the responsible and responsive bidder submitting the lowest bid that fully complies with all the specifications stated in the bid document.

The Town of Yorktown will consider the qualifications of all bidders and may conduct investigations to evaluate the responsibility, qualification, and financial ability of bidders. Bidders must be fully qualified to deliver the goods specified in the bid documents, and the Town reserves the right to request references. The Town may consider financial resources, technical qualifications, experience, organization, material, equipment, facilities, personnel resources, expertise, a satisfactory record of performance and business integrity, adequate accounting and auditing procedures, and compliance with requirements for the utilization of small, minority owned, and womenowned businesses.

If a bidder fails to deliver as ordered, within the time specified, or fails to make replacement of rejected or defective goods, it shall constitute a breach of contract. The Town may purchase goods from other sources and the bidder agrees to reimburse the Town for excess costs. The Town also reserves the right to terminate the contract upon breach within ten days of notice provided to the bidder.

The bid notice does not mention a mandatory or optional site visit. However, bidders must familiarize themselves with all aspects of the delivery location.

A bidder shall have five business days from receipt of the determination of non-responsiveness or non-responsibility to file an appeal with the Town Clerk.

The RFP due date is April 24, 2026, at 2:00 PM EST. Supplier assumes all responsibility for delivery to the location given on or before the due date and time.

The criteria for award includes, but is not limited to, the range of capabilities, combination of vendor recommendations, price, and deliverable timeline.

By submitting a proposal, the supplier acknowledges that they are not debarred, suspended, proposed for debarment, declared ineligible, nor voluntarily excluded from covered transactions by any federal department or agency.

The college reserves the right to request samples prior to contract award.

The deadline to submit questions is April 14, 2026, by 2:00 PM EST.
