The bid proposals must be received by email at ***@***. *. * until May 21, 2026, at 2:00 PM.

Invoices shall be submitted monthly for services rendered through the last day of each month.

The supplier agrees that the supplies or services furnished under the contract shall be covered by the most favorable commercial warranties the supplier gives to any customer for such supplies or services.

The award shall be made to the responsible vendors whose proposal is most advantageous to the districts, taking into consideration the evaluation factors set forth in this request, which include contractors experience and ability to service the needs of the districts (40%), contractors professional references and reputation (25%), and cost (35%).

Vendors will receive penalties for any billing errors. Three or more errors may cause for termination of the contract.

Before submitting a proposal, bidders shall fully inform themselves of the nature of the work by personal examination of the site, and by such means as they consider necessary.

The districts may also request bidders to submit samples for examination and appraisal. Requested samples shall be submitted at no cost to the districts and may be required by the districts either prior to, at the time of the bid opening, or within ten calendar days following the request.

The deadline for receipt of responses is May 27, 2026, at 3:00 PM CT. Late responses will not be accepted.

The bid notice states that payment shall be made 30 calendar days after the latter of the date an uncontested invoice is received, the date goods are received, and the date services are completed.

The department requires the contractor to provide the replacement cost for all rental equipment as part of the solicitation response. The contractor shall be responsible for the maintenance and upkeep of all rental equipment, ensuring that it remains in safe and operational condition throughout the duration of the rental term.

The department will evaluate bids received in response to this solicitation without discussions and will award a contract to the responsible bidders whose bid, conforming to the solicitation, will be most advantageous to the department. Cost or price, technical and other factors, specified elsewhere in this solicitation may be considered.

The respondent must provide evidence that demonstrates the respondent is qualified to satisfactorily perform the specified work and must have worked in this trade for at least 5 years. The respondent must possess the ability to obtain the minimum commercial insurance required by this solicitation.

The bid notice details default and termination clauses, including remedies for the department such as reducing claims to judgment, curing the event of default, withholding of funds, and termination for default. It also mentions that any amount owed to the vendor more than one day beyond the due date shall accrue interest.

There will be no site visit offered for this solicitation.
