Casper College is seeking proposals for a comprehensive helpdesk/enterprise service desk system. Proposals are due August 27, 2026. A non-mandatory site visit (Zoom call) is scheduled for August 11, 2026. Pricing is important but not the sole criterion; the award will be based on the most advantageous proposal to the college. The system must support multiple departments with distinct workflows. Data must be stored within the United States. The initial contract term is five years.
Proposals are due no later than August 27, 2026 at 2:00 p. m. Mountain Time.
Invoices totaling $10,000 or more will be approved once each month at the Casper College Board meeting, typically held the third Tuesday of each month. Completed invoices must be in the possession of accounts payable the Wednesday before the third Tuesday to be considered for payment.
Proposals will be evaluated on pricing, specifications/qualifications, platform integration security hardware/software, reputation, vendor stability/experience, value-added concepts, and innovation/creativity. The award will be made to the bidder whose proposal is most advantageous to Casper College.
The bidder affirms that it has the necessary expertise, capacity, and legal credentials to execute the contract to the highest professional standards. Bidders must also demonstrate experience delivering comprehensive helpdesk enterprise service desk solutions to higher education for a minimum of 3 years.

A bidder who fails to fulfill awarded services may be excluded from future consideration. Failure to provide a deviation statement and supporting documentation may result in bid rejection. A proposal may be rejected if it modifies any specifications or minimum requirements outlined in the RFP.
