The awarded contractor shall deliver within normal business hours of Monday - Friday from 7:00 am through 3:00 pm.

The awarded contractor shall invoice DMVA for services provided under the PO. If the invoice does not contain the minimum information set forth as defined in the Commonwealth's standards terms and conditions, the Commonwealth may return the invoice as improper. If the Commonwealth returns an invoice as improper, the time for processing a payment will be suspended until the Commonwealth receives a correct invoice.

The warranty for the workstations is 3 years.

DMVA shall award the agency contract to the lowest responsive quote.

In order to be deemed responsive, the bidder must be able to perform the required services as outlined in the project statement and in accordance with the terms and conditions.

Warranty and lifecycle sustainment are included per OEM standards.

Payments will be made monthly in arrears. Invoices must include contract company name, purchase order number, invoice number, items covered (including serial numbers), and covered period of service.

Technicians must be certified and have up-to-date certifications on all equipment they service. Field service engineers (FSE) shall be OEM factory trained and authorized. The contracting officer reserves the right to reject any personnel.

Upon completion of each maintenance visit and onsite repair, the technician will physically inspect the equipment with a designated representative from the COR, surgical staff, or healthcare technology management (HTM) prior to departure.

Sealed bids must be received by Thursday, June 25, 2026, at 11:00 AM EST.

Payment by the county is made within thirty (30) days after verification and acceptance of invoices presented by the bidder along with any required documentation.

Seller warrants that all goods shall be of merchantable quality, free from defects in material, design and workmanship, and shall be fit for the particular purposes intended.

The bid that best meets, in the county's opinion and discretion, the county's required specifications for the goods to be purchased, considering cost, discounts, transportation, and lifecycle costs, and the bidder with the lowest responsive bid having provided the necessary surety bond.

Bidders must submit bids in accordance with the specified format, including all required forms and information. Bids must be complete and responsive to the ITB requirements.

In case of default by the bidder or vendor, the board of county commissioners and the Greene County Sheriff's Office may procure the articles or services from other sources and hold the bidder or vendor responsible for any excess costs occasioned thereby.

Samples, when requested, are returned at the bidder's expense.

Failure to submit the bid bond, letter of credit, cashiers check, or certified check with the bid will result in disqualification of the bid. Unauthorized communication with individuals associated with the project will also result in bid rejection.

The estimated value is $150,000.

Bids must be received and time-stamped no later than the public bid opening date and time, June 18, 2026, at 2:00 PM CDT. Late bids will not be opened or considered.

This bid will be awarded to the lowest responsive, responsible bidder meeting specifications based upon the total lump sum bid amount. he lowest bid is not the most responsible bid, considering value received for monies expended, the right is reserved to make awards as determined solely by the judgment of the city.

Bidders must be enrolled in a federal work authorization program and provide documentation. They must also be E-Verify compliant and provide supporting documentation. Firm shall comply with section **** - **** RSMo regarding enrollment in a federal work authorization program.

If the city terminates the contract due to the contractor's breach, the city has the right to purchase equipment elsewhere and charge the contractor for any additional costs incurred. he contractor shall not be relieved of any liability to the city for damages sustained by the city by virtue of any breach of this contract by the contractor. . .

Failure to sign the bid may cause it to be determined nonresponsive and rejected. Failure to comply with worker eligibility verification requirements may result in rejection of the proposal. The contractors failure to meet the mandatory requirements will result in the disqualification of the contractors bid from further considerations.
