This is a public tender notice from Western Suffolk BOCES for the provision of COE Brochures. Bids are due by June 4, 2026, at 3:00 PM. The contract term is from July 1, 2026, to June 30, 2027, with an option to renew for four additional years. Vendors must submit bids in sealed envelopes and are responsible for ensuring timely receipt. Addenda will be issued and posted on www. ***. *. * award will be made to the lowest responsible bidder meeting specifications, using a weighted basis for annual maintenance cost (20%) and hourly rate/markup for materials (80%). Vendors must complete all required forms, including a W9. Usage reports are required upon request. Prices are to be net delivered and include all transportation and delivery charges. Escalation of prices is permitted annually, not exceeding 2% based on the CPI-U, with a requirement for vendors to notify BOCES of any price decreases. BOCES reserves the right to reject any or all bids, waive informalities, and award by item or in total. Vendors must provide samples if requested within five working days. Deliveries are expected within 15 days of the purchase order date and must be off truck, inside delivered. All bidders must comply with various state and federal laws, including those related to non-discrimination, wage and hours, and data privacy.
Bids must be received no later than 3:00 p. m. on June 04, 2026, at the office of the Board of Cooperative Educational Services.
Payment will be made as soon as possible only upon the receipt of a correct invoice in accordance with the terms of a quote or bid and after a correct signed receipt is received from the point of delivery.
All items of machinery, furniture and equipment must carry the normal manufacturers guarantee against defects, and the contractor shall also guarantee all installations made by bidder for a period of one 1 year after completion of such installation against any and all defects.
Award will be made as soon as possible after bid opening to the lowest responsible bidder meeting specifications.
Bidders must be qualified organizations and/or individuals to assist the BOCES in the provision of COE brochures.
Failure to fulfill any portion of a contract or bid may be cause to remove a successful bidder from receiving any future bids.
The board reserves the right to require any bidder to submit a sample before the awarding of the bid to ascertain whether or not the product will be suitable for the purpose for which it is to be used and whether it meets the equivalency of the designated standard.
Vendor changes to bid specs and/or bid form may render a bid nonresponsive and the bidder may be disqualified.
