Sumpter Township is seeking proposals for HVAC preventative maintenance and on-call emergency services for its facilities for a two-year period, with an option to renew for two additional one-year periods. A mandatory pre-proposal walk-through is scheduled for June 22nd, 2026. Proposals are due by 3:00 PM on July 6th, 2026, and will be publicly opened at 3:15 PM on the same day. The evaluation criteria include experience, qualifications, capacity, methodology, and cost. The selected vendor will be responsible for maintaining HVAC equipment in four township buildings and providing on-call services for any township-owned structures. The contract requires a minimum one-year parts and labor warranty. Invoices will be paid within 60 days of receipt and acceptance.
Bids must be received by Sumpter Township by 3:00 p. m. on Thursday, July 6th, 2026.
Payments will be mailed within sixty (60) days of the receipt and acceptance of merchandise or services rendered and properly completed invoice.
The successful proposer will provide the Township with a minimum of one (1) year parts warranty, or the manufacturer's warranty, whichever is greater, and a minimum of one (1) year warranty on all labor.
Proposals will be evaluated and scored based on the apparent greatest benefit to the township, including experience/qualifications, capacity, comparable work, methodology, and cost.
Contractors must be properly licensed, have at least five (5) years of experience, maintain a local office within a 25-mile radius, and have a uniform and detailed method for preventative maintenance tasks.
The Township may terminate the contract without penalty upon thirty (30) day written notice due to poor performance or for reasons deemed to be in its best interest. No service charge, handling fees or other penalties for cancellation will be assessed.
There is a pre-proposal walk-through scheduled for Monday, June 22nd, 2026, at 9:00 am, beginning at the Township Hall Board Room.
The deadline for questions must be submitted by 10:00 am Thursday, June 29, 2026.
Proposals may be rejected if incomplete, conditional, obscure, or contain additions not called for, or irregularities of any kind. Failure to submit required information, such as sample computer generated preventative maintenance task sheets, may result in rejection.
