Bidders that do not obtain contract documents from the office of Robert G. Campbell Associates will have their bid rejected. Bidders that do not will have their bid rejected.

Bids must be submitted by Jul 1st 2026, 11:00 am edt.

The company will award the contract to the bidder presenting a bid that is responsive to the specifications, is in substantial compliance with the contract requirements, and presents the lowest and best price for the material or service. The company may accept the bid that the company determines is in the company's best interest, which may not necessarily be the least expensive bid.

The company reserves the right to reject bids from bidders disqualified and the right to disqualify bids deemed to be defective and/or nonresponsive.

Bids must be received electronically by Monday, June 29, 2026, at 2:00 PM CST.

Payment terms are Net 60 after receipt of properly executed invoice or delivery and acceptance, whichever is later.

The contractor agrees to accept full responsibility for all fire alarm systems and to leave them in first-class condition on the termination date.

The intent is to award this bid to the lowest responsible and responsive bidder.

All technicians furnished under this contract shall have at least five years of experience in fire alarm systems, and at least one technician servicing the account shall have a class D technician license.

Failure to deliver within the time specified in the bid award will constitute a default and may be cause for contract cancellation. The university may purchase goods or services on the open market and surcharge the vendor with excess costs.

It is the responsibility of the prospective bidder to visit and examine the jobsite. To visit the jobsite and for further information, contact Mary Boret at ****.

Written inquiries must be received in the UL Lafayette Office of Purchasing no later than five (5) calendar days prior to the opening of bids.

Failure to meet all mandatory requirements, including submitting incomplete technician information or missing mandatory attachments, may be cause for rejection of the bid.

Items shall be delivered within 40 days from the date of the purchase order after bids have been awarded. Prices bid shall be F. O. B. destination: Latham Water District.

Payment for an item group will not be made until all ordered items within the item group have been delivered and accepted by LWD. Payment shall be made upon the submission of a completed invoice.

The award will be based on the Grand total amount bid for the item group.

The town may make investigations to determine the ability of the bidder to supply the goods and perform the work. Bidders shall furnish requested information within five days of the town's request.

A bid may be rejected if the bidder has previously failed to complete a contract with the town within the time required or has previously performed work for the town in an unsatisfactory manner.
