Invitation to bid for 71 passenger buses. Mandatory pre-bid conference on June 24, 2026. Bid due date is July 6, 2026, at 10:00 AM CST. Delivery of buses must be no later than June 30, 2027. Contract period is one year with an option to extend for four additional years. Bidders must be authorized sales and service agents and have at least five years of experience. Detailed specifications for bus chassis and body are provided. Proof of insurance and other documentation required.
Delivery of buses must be made no later than June 30, 2027. Buses may not be delivered until the state school bus inspection form has been completed and the certification decal is placed on the bus.
BCBE aims to process payments within thirty 30 days of final invoice approval. Delays may occur due to holidays, internal reviews, or disputes. If an issue arises, the payment timeline begins once the matter is resolved.
The bidder further warrants all items for a period of one year, unless otherwise stated, from the date of acceptance of the items delivered and installed or work completed. All repairs, replacements, or adjustments during the warranty period shall be at the bidders sole expense.
Primary factors used to decide the award hereunder will be price, quality, availability, and responsiveness. Other factors that may be used in the evaluation of this bid will be 1 administrative costs incurred by the board in association with the discharge of any subsequent award 2 alternative payment terms 3 bidders past performance 4 other factors as may be specified in the bid.
To be considered for award, vendors must meet the following qualifications and be prepared to submit the documentation satisfactory to BCBE upon request: vendors must be actively engaged on a full-time basis in providing the specified goods or services. A minimum of five 5 consecutive years of experience in the relevant industry is required. Vendors must obtain and maintain all necessary licenses, permits, and certifications throughout the contract period. Valid state of Alabama business license.
In the event the bidder fails to deliver within a reasonable period, as determined by the board, the right is reserved to cancel the award and subsequent purchase order and purchase from the next lowest responsible bidder the items needed. The original bidder will be back charged the difference between the original contract price and the price the board must pay because of the failure to perform by the original contractor.
Interested bidders are to attend a mandatory prebid meeting. Attendees must sign in prior to a brief meeting. Failure to sign in will disqualify the vendor from bid participation. Proposals will only be accepted from those attending the prebid meeting.
Unless otherwise specified, any questions concerning specifications and conditions shall be directed to the purchasing department in writing no later than ten 10 business days prior to the bid opening. Inquiries must reference the bid number and date of bid opening.
Vendors who do not wish to respond to a bid are not required to do so however, vendors not responding andor submitting a no bid response to three consecutive invitations to bid for the requested commodity may be removed from bidders list. Failure to sign in will disqualify the vendor from bid participation.
