Vending Supplies Government Bids & RFPs

The bid packages are due on Friday, May 29, 2026, at 3:00 PM ET. The purchased items are required to be delivered by or before the date designated on the purchase order or contract.

The bid notice states that payment terms are net thirty 30 days unless the bidder quotes an early payment discount. All cash discounts, if taken, shall be computed from the date of delivery or completion and acceptance of material, or from the date of receipt of invoice, whichever is latest.

The bid notice specifies that he contract shall be awarded to the lowest responsible and responsive bidders whose bid meets the requirements and criteria set forth in the request for quotation.

The bid notice mentions liquidated damages: if proper authority is given to proceed with the purchase, the purchased items are required to be delivered by or before the date on which is designated on the purchase order or contract determined by winning bidder and city with a **** fifty 00/100 US dollars per day in liquidated damages for exceeding the schedule will apply.

The City reserves the right to request product samples as needed at the expense of the bidder.

The bid notice states, Do not contact any city employee about this bid or you will be disqualified. It also mentions that erasure or use of correction fluid may be cause for rejection.

Paper bids must be delivered to the Caddo Parish Sheriff's Office Finance Office, and electronic bids must be finalized in Bidnet Direct no later than 2:30 p. m. on June 18, 2026. No bid will be accepted after this time.

The successful bidder shall replace, at no cost to Caddo Parish Sheriff's Office, any miscellaneous sodas dispenser items and service purchased as a result of this bid, if that product is deemed unacceptable for any reason resulting from deviations from the specifications contained herein, or as a result of improper storage, shipping or handling of product by the successful bidder or its designated carrier.

Bids shall be evaluated on the basis of the suitability of items offered for the intended use, the ability of bidders to stock and issue miscellaneous sodas dispenser items and service in manner described herein, and the lowest overall price on the bid form and the bidders responsiveness and responsibility are also considerations. The bid award will be based on the following criteria: total compliance with all written specifications, price factor, experience and capabilities to provide miscellaneous sodas dispenser items and service, ability to maintain inventory on an as needed basis, quality, delivery and pickup capabilities, bidder responsiveness and responsibility. Bid will be awarded on an all-or-nothing basis. Entire bid will be awarded to one (1) vendor.

If for any reason, vendor withdraws bid after forty-eight (48) hours after bid opening, vendor is subject to being invoiced the cost difference incurred from the Caddo Parish Sheriff's Office purchasing same merchandise from next available vendor.

Upon request, bidders shall be required to provide samples of items bid. Should a sample be requested, it shall be required that the bidder, or his representative, furnish the requested samples to Caddo Parish Sheriff's Office, Finance Office, within three (3) working days of request. Failure to provide requested samples for inspection may be grounds for considering bidder nonresponsive.

Any bids submitted not in compliance with bid instructions showing unauthorized additions, conditional or alternate bids, incomplete bids, etc. , will be rejected.
