Contract for UPS system maintenance for Westchester County Department of Labs and Research, located at 10 Dana Road, Valhalla, NY 10595. The contract term is five years. Bids are due by 2 PM on June 30, 2026. Bidders must be authorized and factory certified by ABB. Requirements include providing references for servicing a Generex battery monitoring system. The contract covers preventive maintenance, with corrective and emergency services available on a time and materials basis. Emergency service response time is guaranteed at four hours. Battery replacement costs are not included. Bidders must submit a schedule of labor rates and any discounts offered. Insurance requirements include Workers Compensation, Commercial General Liability, Commercial Umbrella/Excess, and Automobile Liability.
Delivery is requested ASAP after notice of award, receipt of purchase order, or authorized calls for delivery. Bidders guaranteed delivery is days. Note: delivery time may be a factor in determining the winning bidder.
County terms of payment are 2 10 net 30. Bidders may offer alternate terms.
Bidder must warrant that the goods shall be delivered free of the rightful claim of any third person by way of infringement of patents, trademarks or copyright.
Awards may be made by individual item, grouped items or lot. The county reserves the right to reject any or all bids or any portion thereof.
Bidders must be authorized and factory certified by the manufacturer of ABB to work on ABB UPSs and products. Bidders shall submit documentation with their bid confirming authorization by ABB. Bidders shall provide at least one reference demonstrating prior experience servicing, maintaining, or troubleshooting a Generex battery monitoring system.
Should the vendor fail to perform as required by the specifications, the county may cancel the order and terminate the order/contract. In such event, the county will assume no responsibility for, nor will it reimburse the vendor for any expense or loss to the contractor because of such termination or cancellation.
When required, samples must be delivered prior to the bid opening and free of charge. Samples will be returned at bidder's expense.
Vendors protesting or disputing bid specifications must do so in writing during the bid opening period prior to the due date to be considered. Such protests must be in the possession of the Bureau of Purchase and Supplies three working days prior to the bids opening.
Failure to complete this bid in its entirety may result in disqualification. Copies obtained from any other source are not considered official documents and will be considered incomplete if missing addenda, if any, resulting in disqualification.
