Request for Quote (RFQ) for specialized medical beds for the VA Community Living Center in Miles City, MT. This is a combined synopsis/solicitation prepared in accordance with FAR Part 12. The government anticipates awarding a firm-fixed-price contract. Offers are requested and a separate written solicitation will not be issued. The deadline for all questions is June 23rd, 2026, 12:00 PM MST. Quotes are to be submitted via email to ***@***. *. * no later than June 30th, 2026, 12:00 PM MST. Email quotes only, with a 4MB limit. The government reserves the right to make award solely on initial quotes. This solicitation is a 100% set-aside for small business concerns. Key requirements include standard and bariatric low-height bed systems with specific weight capacities, features like integrated scales, bed-exit detection, nurse call connectivity, and a minimum 5-year warranty on parts and labor. Delivery and installation are required at the new VA Community Living Center in Miles City, MT, approximately December 2026. Onsite training for nursing staff and biomedical engineering is also required. Quotes are to be provided to ***@***. *. * no later than 12:00 PM MST, June 30th, 2026. Vendor shall deliver and install beds at the new location contingent upon the start of the lease of the facility with the government approx. December 2026.
Since training is a separate line item, it may be invoiced at a later date. However, final acceptance is contingent upon ensuring the product is fully functional with no defects or missing components. The government cannot accept equipment until they are able to confirm the equipment is installed since installation is necessary to test the equipment.
The warranty shall be specialized/upgraded to cover all parts and labor for normal wear and tear as well as any damage resulting from unintentional negligence and misuse. The warranty would be a fixed cost as listed in the final contract. The standard manufacturer only warranty shall not be acceptable for this requirement.
The government will award a contract resulting from this solicitation to the responsible offeror whose offer conforming to the solicitation will be most advantageous to the government, price and other factors considered. The following factors will be used to evaluate offers: technical capability or quality offered, price, delivery lead time, submission of completed Buy American Certificate, and submission of authorized distributor letter.
Offerors must submit specifications, cut sheets, or brochures confirming the equal products meet or exceed the salient physical, functional, or performance characteristics specified. If the offeror is not an OEM, they must submit a verifying authorization letter or other documents from the OEM consistent with VAAR ****.
Failure to meet the salient characteristics, failure to provide required documents or information by the quote deadline, or contacting VA personnel other than the contracting officer prior to award may result in the offeror's quote not being considered for award or exclusion from award considerations.
