Bids are solicited for fleet vehicles. Bids will be received until July 16, 2026, at 11:00 a. m. via an online bidding portal. Vendors must register to participate. The bid will be awarded to the lowest, responsive, and responsible bidder per line item. Pricing must be firm for six months. The bid will be awarded for one year with an option for two additional one-year terms. All specified items or approved equals will be considered. Bidders must clearly identify brands, product numbers, and unit prices. Sample specifications or a sample vehicle must be presented by July 7, 2026, for substitute items. All items must be bid delivered, F. O. B. , Bakersfield City School District on or before December 30, 2026. Bid tabulations will be available online after the August 4, 2026, school board meeting. Questions regarding the bid package should be utilized via the QA tab on the bidding portal by July 7, 2026. An addendum will be issued by July 10, 2026, if necessary. All bids must be submitted online by a responsible officer or employee. Bid pricing is to be firm through February 5, 2027. No bidder may withdraw a bid for sixty days after the opening. Bids not submitted on the online portal shall be disregarded. Bidders are limited to one price per line item. All items are to be bid delivered, F. O. B. Bakersfield City Schools District warehouse or school site. Delays in performance due to causes beyond the bidder's control may be grounds for an extension if requested in writing within five days of the occurrence. The board reserves the right to reject any or all bids. Bidders may elect to bid on any or all items; all or nothing bids will not be accepted. Substitution requests require sample specifications and a demonstration at least 7 business days prior to bid opening. Delivery date is 30 days or less from the purchase order, with a potential extension to December 30, 2026, with mutual consent. Protests must be furnished in writing within three working days following the bid opening. Required documents include noncollusion declaration, conflict of interest disclosure, drug-free workplace certification, federal certifications, and Iran Contracting Act certification. Vehicles must meet all California emission standards and have all legal safety devices. Updated models as available are to be offered under the same terms and conditions.
All items must be bid delivered, F. O. B. , Bakersfield City School District on or before December 30, 2026. The delivery date of supplies, equipment, or services shall be as specified on the districts purchase order, 30 days or less from the date of the purchase order. Understanding supply chain issues and manufacturing issues, the district will extend the delivery date to December 30, 2026 with mutual consent.
Return of products for warranty purposes shall be free of all cost to the district.
The district intends to award this bid to the lowest, responsive and responsible bidder per line item.
All bids must be submitted by a responsible officer or employee.
If an awarded bidder defaults, the district may procure the materials or services from other sources, typically the 2nd place bidder, and may recover the loss occasioned thereby from any unpaid balance due the bidder or by proceeding against a bidders bond, if any, or by suit against the bidder.
If there is any question as to the or equal nature of the alternate offering, please provide sample specifications to the district on or before 10:00 a. m. , July 7, 2026. A demonstration must be completed at least 7 business days prior to bid opening for each item that is bid by the vendor when it is not bid as specified. Samples are required if bidding on a substitute item.
Should any bidder question or protest the award of contract to the apparent low bidders, such question or protest must be furnished in writing to the director of purchasing no later than three 3 working days following the date of bid opening.
Any ambiguities in a bid response will be cause for rejection of that item. Failure to demonstrate a vehicle prior to the date as noted on the attached substitution request form may be considered reason for disqualification of bid.
