The embassy intends to conduct a pre-proposal conference at the site on July 10, 2026, at 10:00 WAT time at the Four Points Sheraton Hotel.

Offerors wishing to submit questions in advance of the conference must do so no later than close of business July 3, 2026.

Incomplete proposals will not be accepted. No proposals will be accepted after the due date and time.

This micro purchase will be awarded as a whole or by line item, whichever is in the best interest of the city, to the lowest responsive and responsible bidder.

Payments on the awarded bids will be made upon delivery of equipment, vehicle, material, or supplies in accordance with established payment procedures of the division of finance of the Calcasieu Parish Sheriffs Office.

All customary guarantees for workmanship and replacements of defective parts, as specified, by the manufacturer for the particular item furnished shall apply. All warranty work to be done within boundary of Calcasieu Parish. All warranty work performed beyond the boundary of Calcasieu Parish resulting in transportation costs such costs shall be borne by the successful bidder.

Each and every bid will be evaluated based upon the proposed product price, specification, product support, performance characteristics, and suitability, in the opinion of the Calcasieu Parish Sheriffs Office to properly perform the tasks required.

Bids will be accepted only from established manufacturers or their authorized dealers. Bidders must include a copy of their valid dealer's license.

Failure to deliver within the time specified in the bid will constitute a default and may cause cancellation of the contract and/or the bid guaranty accompanying the bid shall be forfeited by the bidder.

Bidders, requiring clarification or interpretation of bidding documents, shall make a written request to the purchasing department at least seven days prior to the date of receipt of bids.

Bids may be rejected if they show additions not called for, conditional or alternate bids not called for, or for incomplete bids. Failure to note exceptions on the bid form will not relieve the successful bidders from supplying the actual products requested.

Quotations are due by Thursday, July 30, 2026, at 03:00 PM UAE local time. No quotations will be accepted after this time. The contractor shall deliver all ordered items no later than the delivery date specified in each delivery order, with a minimum of thirty (30) calendar days advance notice for each delivery.

Payment will be made by the American Consulate General Dubai. Invoices are to be submitted via email to ***@***. *. * added tax (VAT) is not included in the CLIN rates and will be priced as a separate line item.

Vehicles must have manufacturer's and dealer's warranty in accordance with local regulations, and must have an authorized service center located within Dubai. The manufacturer warranty must be a minimum of 3 years.

Award will be made to the lowest priced, acceptable, responsible quoter. The government reserves the right to hold discussions.

Offerors must operate an established business with a valid UAE trade license for vehicle trading/sales, and provide proof of authorized dealership or an authorization letter from the manufacturer. SAM registration (UEID) is also requested if available.

Incomplete proposals will not be accepted. Failure to provide a valid UAE trade license and required authorized dealer documentation will render the proposal noncompliant.
