The Wake County Public School System (WCPSS) is seeking bids for child
nutrition services small equipment. All submittals must be organized and indexed according to the section number and required subject matter. Proposals are due April 25, 2024, at 2:00 PM ET. Delivery is FOB Child
Nutrition Services warehouse, Building F, Door A, **** Rock Quarry Road, Raleigh, NC **** transportation charges must be prepaid and included in the bid price. Vendors must review and initial the enclosed checklist to verify that they have submitted the required information and that they have read and agree to the terms and conditions. The contract will establish a maximum price that WCPSS CNS will pay for any item covered by the contract during the term of that contract. Bidders must provide brand, manufacturer's product code, and unit price based on a direct shipment to the designated location, including all freight and unloading charges for each item quoted. The vendor shall be licensed and approved to do business in the state of North Carolina. The awarded dealer must have a minimum of one year of experience in commercial sales of food service small equipment business and must maintain all required state and local business licenses and a certificate of authority from the secretary of state of North Carolina. Delivery must be made between 7:00 AM and 2:00 PM, Monday through Friday, except holidays. 24-hour notice prior to delivery is required. Delivery tickets must contain the purchase order number, distributor name, name and address of the delivery location, item description, item number, quantity, case price, and extended total. Payment will be due within forty-five (45) days of the statement date. The successful bidder shall be able to provide an electronic standard EDI 810 file delivered to a WCPSS FTP/SFTP site/fns folder within six (6) months of the contract start date. The distributor shall be required to notify the school districts child
nutrition services senior director or his/her designee of any manufacturers recalls regarding items delivered within 24 hours. The contract term is one year, beginning May 1, 2025, through April 30, 2026, with the option to renew for four additional years in one-year increments. WCPSS will notify the awarded vendors 60 days prior to April 30, 2025 with an option to renew. The contract may be extended for up to four additional years unless sooner terminated in accordance with the provisions of this contract if the vendor and the WCPSS mutually agree, no increases in costs are incurred except for the growth and the maximum allowable escalation price is capped by consumer price index increases. Bidders are cautioned that any all information furnished or not furnished on this bid may be used as a factor in determining the award of this contract. The WCPSS reserves the right to reject any bid on the basis of function, compatibility with user requirements of utility as well as costs. Substitutions will not be accepted or considered without at least a 48-hour notice prior to delivery. The successful vendor will be liable for any expenses, including attorney fees, incurred as a result of violations or attempts to enforce this contract. Compliance with clean air and water act, energy policy and conservation act, debarment, suspension and other responsibility matters, deviations, withdrawal or modification of bid, pricing, allowable costs, value added options and services, make and model, samples, suitability for intended use, warranty, equal employment opportunity, force majeure, records retention, remedies for nonperformance of contract, and contract termination are also included in the terms and conditions.
