The bid pricing sheet indicates a tentative delivery date of August 27, 2026.

The City's standard payment terms are net thirty (30) days following receipt of a properly submitted delivery and installation of equipment, as determined by the City.

All equipment shall include a manufacturer's warranty. The bidder shall clearly state the length and terms of warranty coverage in its bid submission. At a minimum, treadmills shall include a two (2) year warranty.

Bids will be evaluated and awarded on the basis of the lowest bid price or lowest evaluated bid price.

Responsible bidder means a person who has the capability in all respects to perform fully the contract requirements, and the integrity and reliability which will assure good faith performance.

If the successful bidder fails to perform the services in accordance with the bid documents, the City may require corrective action, withhold payment for unsatisfactory performance, terminate the contract in whole or in part, and procure equipment or services from another source and hold the contractor responsible for any additional costs.

The bid response deadline is May 12, 2026, at 12:00 PM ET. The bidder must report to the school site no later than 3 school days from the receipt of the service call for repairs.

The bid notice states that payments shall be made only for time working on the job, and bidders will not invoice for travel time.

The bid notice allows for two options regarding warranty: either the bidder will honor the manufacturer's standard warranty period where one exists, or the bidder cannot honor the manufacturer's standard warranty period where one exists.

The successful bidder must provide a minimum of five recent or ongoing references of companies where they install and repair equipment similar in quantity and complexity to the equipment listed in this bid. This must include type of work, dates performed, contract amount, company name, contact name, title, and phone number of the contracting officer.

The bidder acknowledges that they must be able to visit each school to make onsite repairs.

The period of performance shall be 90 days after receipt of order (ARO).

To the maximum extent, requested equipment shall be certified pre-owned equipment with a one 1 year parts warranty covering normal commercial use, beginning upon government acceptance.

The government intends to make a single award to the responsible vendor whose quotation represents the best value to the government, price and other factors considered.

Quotations for equal products in clins **** thru **** that fail to provide sufficient technical documentation to demonstrate compliance with all stated salient characteristics will be considered technically unacceptable and will not be considered for award.

An optional site visit will be held on 22 APR 2026 at **** Central Standard Time (CST) and may be attended by contractor.

All questions shall be submitted by 7 MAY 2026 at **** CST.
