The bid notice states that delivery and/or completion will be made within twelve 12 days from the date of notification if no specific date is indicated. For this specific project, all work, including site restoration and disposal, must be completed no later than June 30, 2026.

A pre-bid walkthrough will be conducted on April 9, 2026, at 2:30 PM at the Fanning Building. Attendance is encouraged but not mandatory.

Samples of the product to be delivered may be taken by a representative of the city, either prior to delivery or while it is being delivered. The bidder agrees to furnish the necessary manual labor, without additional cost, required to assemble the physical samples.

Any prospective bidder requesting a change in or interpretation of existing specifications or terms and conditions must do so within five 5 days (Saturdays, Sundays, and holidays excluded) before the scheduled bid opening date.

The university utilizes Payment Plus ePayables as its primary default form of payment, with all invoices paid immediately upon confirmation of goods receipt and invoice. For check payments, terms are Net30, and for ACH direct payments, terms are Net15.

The university will award the contract to the responsible offeror whose proposal is determined to be the most advantageous to the university, taking into consideration the evaluation factors set forth in this RFP, including cost and other factors.

The evaluation of proposals will be based upon the information provided in the proposal, additional information requested by the university for clarification, information obtained from references and independent sources, and oral presentations if requested. Proposals will be evaluated strictly in accordance with the requirements set forth in this solicitation.

Non-adherence to university brand standards can have a penalty up to and including contract cancellation. Failure to comply with accessibility requirements shall constitute a material breach of this agreement and shall be grounds for termination of this agreement.

The response deadline for proposals is April 28, 2026, at 02:00 PM CT.

Payment for goods and services shall be governed by Texas Government Code **** must be submitted to the LISD accounts payable department at ***@***. *. * and must have the PO number and RFP **** referenced on the invoice. LISD currently pays all invoices 30 days after receipt of invoice via check through standard USPS, but offers an electronic payment solution that can drastically reduce payment time.

Any product provided is to be factory new, and carry full factory warranty. No refurbished units.

The RFP shall be awarded at district discretion, to multiple proposers supplying comparable products or services, also known as a multiple award schedule, or award the contract to a single proposer. The district's decision to make multiple awards or a single award will be based upon the district's sole discretion regarding the type of products and/or services that provides best value to the district.

LISD is accepting proposals and pricing for RFP **** fundraising products and services from qualified vendors.

Lewisville ISD may terminate or cancel any purchase order or agreement at any time, with or without cause, by providing seven (7) business days advance written notice to the vendor. If a purchase order or agreement is terminated in accordance with this paragraph, LISD shall only be required to pay the vendor for goods or services delivered to LISD prior to the termination and not otherwise returned following vendor's return policy. If LISD has paid vendor for goods or services not yet provided as of the date of termination, vendor shall immediately refund such payments.

The deadline for questions about this proposal is stated in the bid activities and the district will not respond to questions after this time and date.

The bid notice specifies that meeting rooms and audio-visual support will be for a period of one day, May 2, 2026, and light refreshments will also be for May 2, 2026.

The bid notice states that services shall be invoiced after the final day of the event and in accordance with the terms and conditions of the purchase order.

The bid notice indicates that facilities are expected to maintain a minimum three-star hotel/resort rating and must be handicap accessible.

The bid notice does not mention the submission of samples.

The contractor shall begin performance within 30 calendar days and complete it within 180 calendar days after receiving notice to proceed.

The government shall make progress payments monthly as the work proceeds, or at more frequent intervals as determined by the contracting officer, on estimates of work accomplished which meets the standards of quality established under the contract, as approved by the contracting officer.

The bid notice states that the contract incorporates FAR clause ****, Warranty of Construction, by reference.

If the contractor fails to complete the work within the time specified in the contract, the contractor shall pay liquidated damages to the government in the amount of [contracting officer insert amount] for each calendar day of delay until the work is completed or accepted.
