Seeking a full-service vendor for on-site merchandise production and sales for the annual Crabapple Fest event. Contract term is one year with two optional annual renewals. Proposals are due July 16, 2026, by 2:00 PM EST. Vendor will produce and screen print t-shirts and other merchandise, manage inventory, and handle sales. A revenue share of 30% of net profit goes to the city, 70% to the vendor, after production costs are recovered. City provides tent, tables, chairs, and electrical service. Vendor recognized as an in-kind sponsor.
Proposals are due by 2:00 PM EST on July 16, 2026. The contract term is for an annual term expiring September 30, 2027, with the option for two automatic annual renewals through September 30, 2029.
After recovering documented production costs, the remaining net profit is split 30% to the city and 70% to the vendor. The city's share is remitted within thirty (30) calendar days following the city's review and acceptance of the sales report.
Proposals will be evaluated based on experience and qualifications (25 pts), references (10 pts), merchandise program and product offerings (20 pts), operational and production plan (20 pts), and financial and revenue generation proposal/cost proposal (25 pts). Shortlisted vendors may be invited for a presentation.
Offerors must demonstrate experience in merchandise production and retail sales for festivals and large public events. They must provide a company background, qualifications, experience, proposed merchandise program, operational plan, references, and financial proposal.
Failure to submit required reports, supporting documentation, or commission payments within the required timeframe shall constitute a material breach of this agreement.
A site visit is recommended but not mandatory.
Sample images, mockups, or examples of merchandise programs completed for past similar events are required.
The deadline for written questions is July 6, 2026, by 5:00 PM EST.
Unauthorized contact with city staff, failure to comply with instructions, late proposals, or failure to meet mandatory requirements may lead to disqualification.
