Chariho Regional School District - Agency Bids & RFPs

Proposals must be submitted online through BidNet by June 24, 2026, at 10:00 AM. All proposalsbids received after the stipulated time shall not be accepted.

Payment will be made by the school district after presentation of a vendor's invoice, which must be submitted subsequent to delivery and/or performance of the work or services. Payment and performance obligations are subject to annual appropriation and availability of funds.

The contractor shall be responsible for providing copies of background checks for each person working under the bid. Whenever, within one year of the final acceptance of the apparatus, equipment, supplies, materials, work or services by the school district, the contractor is notified in writing by the school district that any item of apparatus, equipment, supplies, material, and/or workmanship has proven defective or is not meeting the specification requirements, the bidder shall immediately replace, repair or otherwise correct, as the school district may determine, the defect or deficiency without cost to the school district.

The goal is to obtain the best value for the taxpayer. References and prior work performed for Chariho Regional School District will be used in the bid evaluation process. Preference will be given to vendors that have previous experience with Chariho and have performed successfully.

Previous experience with high school students is required. Preference will be given to a vendor with instructors who have experience teaching in a high school and to a vendor that has postsecondary education accreditation. The successful bidder must, upon request, furnish evidence of financial responsibility.

The school district may terminate the contract if the contractor fails to make delivery or perform services within the specified time or fails to perform other provisions of the contract and does not remedy the failure within 10 days of notice. In the event the school district terminates this contract in whole or in part, the school district may procure, upon such terms and in such manner as the school committee may deem appropriate, supplies or services similar to those so terminated, and the contractor shall be liable to the school district for any excess costs for such similar supplies or services.

The school district reserves the right to require any bidder to submit a sample either before or after the awarding of the bid. All samples shall be delivered to a place designated by a representative of the school district.

No bid will be considered from any person whose performance on any previous contract with the school district has been unsatisfactory. The contractor shall ensure that no person who has any disqualifying information as that term is defined in R. I. Gen. Laws **** shall work on the bid.

The award criteria include the proposer's ability to provide the service efficiently, prior experience, and the ability to provide grounds services more than once a week if needed, in addition to price. bid award criteria, in no order of priority: 1. the proposers ability to provide the service as efficiently as possible based upon the schedule. 2. prior experience, as required in these specifications. the proposers ability to provide grounds services more than once a week if need be. 3. price

Bidders must provide proof of an appropriate State of RI Applicator's License, a certificate of insurance with the bid proposal, and a minimum of two current client references for yearly ground service contracts exceeding $10,000 each. all proposals shall include at the time of bid submittal, proof of an appropriate state of ri applicators license. certificate of insurance with bid proposal. a minimum of two 2 current client references where the yearly ground service contracts were in excess of 10, 000 each.

If the vendor fails to start work as required, a credit may be taken in the bid price of $1 per day at the discretion of the Director of Administration and Finance. if the vendor fails to start work as required in the time indicated or subsequently agreed to, a credit may be taken in the bid price of 1 per day at the discretion of the director of administration and finance of the chariho regional school district.

Questions regarding bid specifications will be accepted in writing through BidNet up to seven days before the scheduled bid opening. questions will be accepted up until seven 7 days before the scheduled bid opening.

The school district may terminate the contract if the contractor fails to perform services within the specified time or fails to make progress, and does not remedy the failure within 10 days of notice. if the contractor fails to perform the services within the time specified herein or any extensions thereof or if the contractor fails to perform any of the other provisions of this contract, or fails to make progress such as to endanger performance of this contract in accordance with its terms and in either of these two circumstances does not remedy such failure within a period of 10 days after receipt of notice from the director of administration and finance specifying such failure.

Completion date is 16 weeks from the date of equipment delivery. School summer vacation runs from June 15 to August 26, 2026. Coordination must be made with the district to plan for outages of each building. Long weekends, holidays breaks, and second shift are options to consider completing this work.

It is the intention of the school district to award the project to the bid of the lowest responsive and responsible bidder kind, quality and materials being equal, provided the bid has been submitted in accordance with the requirements of this rfp. References and prior work performed for chariho regional school district will be used in the bid evaluation process. MBE/WBE participation compliance with 15% MBE participation is part of the selection criteria.

The bidder shall submit the following data with the proposal: 1. The successful bidder must, upon request, furnish evidence of financial responsibility. 2. A list of other installations of similar equipment specified herein, which the school district may easily visit for inspection. 3. A plan, with elevations, showing any variations in design, arrangement, sizes and the like which bidder proposes to furnish as different from those called for in the specifications. 4. Cuts of each item proposed as alternate equipment to that specified, with a list of any variation from specified methods and details of construction and from specified designs.

The school district may, subject to the following provisions, by written notice of default to the contractor, terminate the whole or any part of this contract in any one of the following circumstances: 1. if the contractor fails to make delivery of the supplies or to perform the services within the time specified herein or any extensions thereof or if the contractor fails to perform any of the other provisions of this contract, or fails to make progress such as to endanger performance of this contract in accordance with its terms and in either of these two circumstances does not remedy such failure within a period of 10 days after receipt of notice from the director of administration and finance specifying such failure.

This project requires a mandatory prebid site visit on june 17, 2026 at 10:00 am at chariho career tech center 459 switch road, wood river junction, ri ****.

All contractors associated with this bid shall undergo a national and state criminal background check. The contractor shall ensure that no person who has any disqualifying information as that term is defined in R. I. Gen. Laws **** shall work on the bid. To the extent that the criminal background check reveals any other adverse information, Chariho may, in its sole discretion, prohibit the person from working under the bid.
