Proposals will be evaluated based on price, ability, capacity, skill, timeliness, character, integrity, reputation, judgment, experience, efficiency, quality of past performance, compliance with laws, financial resources, quality/availability/adaptability of supplies/services, environmental practices, and proposal responsiveness. The proposals will be evaluated following the towns procurement code and according to the following criteria. 1. Price. 2. The ability, capacity, and skill of the proposing firm to perform the contract or provide the services requested.

Bidder must have at least 5 years of experience directly related to the type of service, demonstrate exemplary customer service, and be in good standing with the town and state. A non-mandatory pre-bid conference will be held from 2:00 PM - 3:00 PM on Thursday, June 18th, 2026. A nonmandatory prebid conference will be held from 2:00 pm 3:00 pm on thursday june 18th, 2026

Failure to complete and submit all forms, follow instructions, take exceptions, or submit illegible responses may cause the bid to be considered nonresponsive. Failure to complete and submit all forms reflecting any and all modifications or to follow any instructions in this solicitation will cause the bid to be considered nonresponsive.

The Town of Fairfax reserves the right to reject or accept any or all proposals and is not required to select the lowest bid.

Proposals must include vendor contact information and references from similar locations.

All services must commence within 14 calendar days of purchase order receipt and be completed within 28 calendar days.

Submissions will be evaluated based on on-time and complete submission, license requirements, projected completion date, lead time, previous performance, statement of qualifications, current and pending workload, and pricing versus the market.

Bidders must be active, registered mold vendors with the tribe, have an existing active funded service agreement with the Housing Department, be the prime contractor, hold a current certified license relevant to mold remediation, and have a minimum of three years of experience.

Attendance at the pre-bid conference is mandatory. Attendance is mandatory to be eligible for award. A grace period of ten 10 minutes will be allowed for attendees who are late.

Questions must be submitted by June 11, 2026, at 5:00 PM ET.

Bidders may be disqualified for arriving more than ten minutes late to the pre-bid conference, failing to disclose subcontractors, submitting altered files, submitting illegible or unintelligible submissions, being unresponsive post-submission, or being unable to complete the vendor registration process.

Cleaning will be performed pre exercise 13 24 july 2026 and post exercise 16 29 september 2026 in designated areas.

Firms must demonstrate ability to comply with all applicable authorization, licensing, permitting, visa, labor, tax, insurance, safety, SAM registration, and performance/payment protection requirements for construction work in the place of performance.

Failure to register in SAM. gov or maintain active registration through final payment could lead to disqualification.
