This Request for Proposal (RFP) is for the purchase of classroom and office furniture for Ball Chatham CUSD 5. The district is seeking proposals for a one-time purchase. Pricing provided must be locked for the duration of the purchase timeline, with no unit price increases without written permission. Subcontracting is prohibited without express written consent. The RFP is divided into two categories: furniture cost and additional costs (assembly, delivery, setup). The tentative schedule includes RFP publication on March 26, 2026, a pre-proposal conference on March 31, 2026, and the proposal due date on April 10, 2026, at 2:00 PM. The scope of work includes providing adequate quantities and sized furniture, including pricing for delivery and assembly, and providing warranty terms. Proposers must submit a signed offer and acceptance form, signed solicitation amendments, a completed pricing page, and responses to evaluation criteria. Proposals must be valid for 90 days. The district is a tax-exempt municipality. All proposals become public record after award notification. The contract will be governed by the laws of the state of Illinois. The contractor must comply with the Americans with Disabilities Act and maintain all necessary licenses and permits. The contract may be terminated by the district with 30 days written notice. The contractor must provide insurance coverage, including commercial general liability, commercial automobile liability, and workers' compensation. Prices listed must be all-inclusive. Proposers must also provide a pricing guide/catalog for all available items and a price list for all available services.

Vendors must be MBE certified. Bids should be submitted in the format prescribed by Ohio Buys, including a PDF copy on company letterhead with vendor email and contact number. Bids are valid for 90 days. Selection is based on the lowest responsive bid. Payment will be made with a pcard.
